Payroll Systems Specialist

Location: Wrocław (Poland)

About the Role

The Payroll Systems Specialist is responsible for supporting the systems‑related components of end‑to‑end payroll processing in SAP PY for Swiss entities. The role focuses on SAP payroll solutions and related integrations, ensuring stable payroll system operations, compliant payroll execution, and high‑quality data outputs for operational, financial, and audit purposes.

This position plays a key role in payroll system upgrades, enhancements, and new system implementations, including interface management with upstream and downstream systems. Acting as a subject matter expert for Swiss payroll systems, the role collaborates closely with Payroll Operations, HR, Finance, IT, and external vendors to ensure accurate, compliant, and well‑controlled payroll processing in a complex regulatory environment.

Key Responsibilities

  • Support the systems‑related aspects of end‑to‑end Swiss payroll processing, ensuring accurate and timely payroll execution in SAP.

  • Perform and support SAP payroll system operations, including payroll runs, controls, reconciliations, and post‑payroll activities for Swiss payroll.

  • Act as a payroll systems subject matter expert for Swiss payroll, supporting:

    • System changes and enhancements driven by legal, regulatory, or business requirements

    • Payroll process optimization and automation initiatives

    • Resolution of complex system‑related payroll issues

  • Participate actively in payroll system upgrades, releases, and implementations, including:

    • Requirements gathering and solution design support

    • Configuration review and validation

    • Test planning and execution (SIT, UAT, parallel payroll runs)

    • Go‑live and post‑go‑live stabilization support

  • Support and maintain payroll system integrations across various systems and providers such as:

    • SAP Payroll (ADP)

    • Time and attendance systems (Zeus)

    • HR master data systems (Workday)

    • External vendors and authorities (UKA, ELM)

  • Monitor and support interface performance, data consistency, and error resolution, ensuring end‑to‑end payroll data integrity.

  • Provide payroll analytics and reporting, including:

    • Standard and ad‑hoc payroll reports

    • Data analysis for operational, financial, and compliance purposes

    • Audit support and evidence preparation

  • Support internal and external audits by preparing payroll data, system documentation, control evidence, and analysis.

  • Ensure payroll system processes comply with Swiss payroll regulations, internal control frameworks, and audit standards.

  • Maintain and enhance system documentation, integration mappings, test scripts, and standard operating procedures.

  • Promotion of continuous improvement through report analysis and key performance indicator management, as well as general reporting.

  • Collaborate closely with Payroll Operations, HR, Finance, IT, and external partners to ensure end‑to‑end process alignment and system stability.

  • Contribute to continuous improvement initiatives related to payroll systems, integrations, controls, and reporting capabilities.

Qualifications & Skills

  • Strong hands‑on experience with SAP Payroll (SAP HCM PY and/or SAP ECP), including payroll execution, controls, and system support for Switzerland

  • Proven experience in payroll systems support and payroll processing in Switzerland

  • Experience with payroll system integrations, including data flows between payroll, time management, HR, finance, and external vendors.

  • Solid understanding of end‑to‑end payroll processes, payroll controls, and audit requirements in a regulated environment.

  • Experience supporting system upgrades, enhancements, and payroll implementations

  • Experience with ticketing systems and technical change management

  • Knowledge of Workday, UKA, Zeus advantageous; proficient in MS Office and IT literate

  • Especially strong skills in MS Excel are required

  • Strong analytical skills with experience in payroll reporting, reconciliations, and data analysis and strong numerical aptitude and problem-solving skills in the area of reporting

  • Ability to work independently with cross‑functional stakeholders across Payroll, HR, Finance, IT, and external service providers.

  • High attention to detail, and a structured, control‑oriented mindset.

  • Strong command of German and English language skills required
